She gave opening remarks, welcomed everybody to the meeting, and thanked them for coming. **September 2017 meeting minutes were approved. Budget Update: **current balance as of 9/25/17 is $5,080.99 **$996.00 was made in movie night profits **$460.00 has been made so far for wristband ticket sales for Oktoberfest; $715.98 has been used for Oktoberfest expenses (still need to pay for bouncy houses) **Per results from the recent budget vote, PTO will be paying for half of the Accelerated Reading (AR) Program that will be new to the school. This amount is $3,710.80. (October Meeting Minutes Continued) Community Partners: *Box Tops - Parents were encouraged to send them in to the school. We currently have made $400.00 for the current school year. PTO will award the class with the most box tops at the end of the month an ice cream party. Membership: **We are currently at 360 members. **We currently have 100% staff participation and 100% governing board participation. This is the first year this has happened in Brighten history. **Anyone can still become a PTO member through online registration at the Brighten PTO website. New Business: **Oktoberfest -This annual event will be held on Friday, October 27th from 6-9pm. -Each child is asked to bring in one bag of candy anytime between now and October 27th to ensure there is enough candy for this event. We currently are in need of a lot more candy in order to make this event successful!! -We currently have 30 confirmed trunks for this event. Those who are doing a trunk need to arrive no later than 5:15 and bring 2 family-sized bags of candy to start out. Parents who are doing a trunk are asked to only hand out max 2 pieces of candy at a time to ensure ther is enough candy for the event. PTO will help to replinish your stock with the candy that we have available. Trunks must be decorated in order to receive the 10 hours volunteer credit! -There will be 4 teal pumpkins designated at different trunks which will include peanut-free candy for those with allergies. -The room moms are responsible for the class games and coordinating parents to work at the game during the event. We currently have 24 confirmed games. Game set-up will begin starting (October Meeting Minutes Continued) at 5:00. -Middle school room moms can assist with the middle school glow party in the gym instead of doing a game if they wish. -Wrist band payment needs to happen through the order form that was sent home with your child. More order forms are available in the office. We cannot accept money through MySchoolBucks or through the PTO website for this event. Pre-order money for wristbands will be due no later than this coming Friday at 2:00!! For those who pre-order, there will be a will-call table that evening at the event to pick up your wrist bands upon entry. Budget Update: **current balance as of 9/25/17 is $5,500.90 -The current balance includes movie night and spirit shirt profits but does not include the recent spirit nights. **$349.74 profit was made from spirit shirt sales **There will be an upcoming budget vote for current PTO members via Survey Monkey. The staff of Brighten has put together a wish list for items they feel are needed for the school, and this is what the voting will address - where PTO members feel the money would be best spent. The voting dates are TBD at this time. An AR (accelerated reader) Program will be one of the items on the wish list. If approved, PTO has been asked to pay for half of the program which would be approx. $3,500.00 Spirit Nights: **The first Spirit Night of the year was held at Pelican’s Snoballs on August 31st. She gave opening remarks, welcomed everybody to the meeting, and thanked them for coming. **May meeting minutes (from previous school year) were approved. Budget Update: **Parents were made aware of big budget items to be on the lookout for this year: spirit nights, spirit shirts, Color Fun Run (coming up in April - more info TBA), Oktoberfest, Mistletoe Market, Variety Show. **PTO gave back approx $25,000 to the school last year. Some of the things the money went towards was the fence around the playground, new sod, repainting inside, hand dryers in the bathroom, awning over the office door, and bleachers for the gym. **$150/year is allotted for each grade level, and $100/year is allotted for each special. The money comes from the PTO. Upcoming Events: **The first Spirit Night of the year will be held at Pelican’s Snoballs on August 31st from 3:00-9:00. **The next Spirit Night will actually be more of a “Spirit Week” at Carrabba’s the week of September 18th-22nd. (Called Meeting) Date: March 17, 2017 Time: 4:00 PM Location: Brighten Academy ______________________________________________________________________________ *This meeting of just the PTO Board was called to order by Keena Kister, PTO President. *Krista Polane, PTO Treasurer brought the current check register. *The initial discrepancy was a confusion with the initials “SS” in the current check register- secret santa items (from Mistletoe Market) vs spirit shirts, but this discrepancy has since been corrected. Mistletoe Market *PTO received an invoice for $1992.25 due to the company that provided the secret santa shop items. There is a questionable discrepancy with this invoice, and it was decided unanimously from the PTO board not to use this company for future events. *Actual profit from the entire Mistletoe Market event ($3,006.50)minus the total expenses from the event ($2,411.35 which includes the amount from the invoice mentioned above) leaves us with a profit of $595.15 for the entire Mistletoe Market event. Spirit Shirts *We are currently in the “red” for spirit shirts until they are all sold. *We decided to discount the current prices of the the navy and black spirit shirts in order to get them all sold. They will be discounted starting next month at a date TBD. (March 17 Minutes continued) *Future opportunities to sell shirts: in the afternoons at student dismissal, next PTO meeting which is also the State of School Meeting, and Movie Night on April 21st. *$1,036.36 is our potential profit when all shirts are sold. Other Business *We did receive the $2,500 Franklin Foundation Grant. *We are to get the check in May. Keena to confirm if this money needs to be spent by a certain time. |
